Chorus Administrator for Master Chorale of South Florida

Job Description: The Chorus Administrator supports all logistics of the Master Chorale of South Florida, and is perfect for an individual looking for part-time work with a flexible schedule. In addition to administrative responsibilities (specific duties listed below), the Chorus Administrator also provides support to the director, associate director, and accompanist in weekly rehearsals on Monday evenings from August through April. Periodically, assistance is required for additional rehearsals or outreach performances. The Chorus Administrator is considered a valued member of the Master Chorale of South Florida staff, and is expected to have a vested interest in the ensemble’s growth and continued success. 

Hours per week: Part-time, commitment varies with time of year and performance schedule, but averages 10-15 hours per week. 

Specific Duties: 

  • Attend rehearsals and assist as needed (paperwork distribution/collection, attendance, announcements, etc.) Mondays from 6:45 pm – 10:00 pm (rehearsal begins at 7:30 pm) at Christ Lutheran Church (1955 East   Oakland Park Blvd, Ft Lauderdale, FL 33306) 
  • Maintain ensemble roster 
  • Prepare and distribute weekly emails to the ensemble 
  • Manage the chorale’s main phone line and email address 
  • Manage venue details for current and future Master Chorale Seasons (site visits, stage plot creation, etc.) 
  • Manage all communication with guest artists (contracts, home hospitality, flights, etc.) 
  • In conjunction with treasurer, coordinate payments made for contracted work, invoices, etc. 
  • Assist with the organization and execution of four annual concerts and outside performances as needed 
  • Coordinate volunteer committees for concert week assistance (ushering, ticket sales, set-up, take-down, etc.) 
  • Communicate with vendors for concert related needs (rental instruments, risers, chairs, tunings, etc.) 
  • Assist in organizing information for grant submissions 
  • Schedule and manage auditions (August and January) 
  • Manage official calendar (with Artistic Director) 
  • Function as stage manager during all performances 
  • Manage rehearsal and concert attendance 

 

Candidate Requirements: 

  • Previous experience handling administrative operations for an organization 
  • High level of responsibility and professionalism  
  • A pleasant demeanor with strong communication skills 
  • Excellent computer skills with specific facility in Microsoft Word, Excel, and Google applications
  • Ability to manage and address large groups of people 
  • Basic musical knowledge
